Blue Swallow Guest House Terms and Conditions

By placing a booking with us (the Blue Swallow Guest House), you and your party (if applicable) agree to the following terms and conditions. If you have any questions about booking with us, please contact us prior to making a booking.

Terms of booking

You must be aged 18 and over to make a booking with us.

The maximum number of staying guests per room is illustrated in the room occupancy details on our booking page. Only guests checked-in by us (the lead guest and/or named booking party) are allowed to use our facilities – visitors or additional overnight guests are not allowed access to our guest house.

Group Bookings

For all group bookings please contact us directly to discuss your requirements. 

It is the responsibility of the person booking the accommodation (the lead guest) to ensure that all group members are aware of our Terms and Conditions and that payment is made to us in the event of any cancellation or alteration to the booking.

Deposit and Cancellation Policy

For short stays no deposit is required at time of booking, however, card details are required to secure your reservation. For stays longer than 7 days we reserve the right to request a deposit or payment in full.

If your booking is cancelled within 2 days of your arrival date we reserve the right to charge the full cost of your first night’s stay. If you fail to show or leave before your due departure date, we reserve the right to charge you for the full balance due for the whole of your booking.

By booking and agreeing to our terms and conditions, you authorise the Blue Swallow Guest House to send instructions to the financial institution that issued your card to take payment from your card account.

We would only cancel your booking if your accommodation was unavailable for reasons beyond our control (force majeure) and we would make every attempt to find you alternative accommodation.  If any prepayment had been made we would refund all monies in full. Our liability would not extend beyond this refund. 

We recommend guests check that their travel insurance provides cover for cancellations.

Coronavirus (COVID-19) 

Coronavirus (COVID-19)  – Guest Wellness

If you, or your party, show symptoms of Coronavirus (COVID-19) during your stay then please stay in your room and inform us immediately so we can discuss an action plan with you. Medical advice should be sought from NHS 111 or your local GP. We request that your party return home in order to follow NHS and Government guidance on self-isolation.

As the risk to us and others cannot be mitigated your party will not be able to stay and self-isolate at the Blue Swallow Guest House.

If you are unable to return home, for example, due to the severity of your illness, then medical assistance must be sought immediately. We will contact our local authority for advice in managing your situation and will do everything we can to assist your wellbeing during this time.

In the event that you stay with us for an extended time then your party will be liable for all additional costs for your stay. We will be unable to offer any extra rooms for your party.

If you develop COVID-19 symptoms within 14 days of departure from the guest house we would ask that you inform us at the earliest opportunity.

Coronavirus (COVID-19) – Guest House Arrival

We have the right to refuse entry to the guest house if any members of your party are showing COVID-19 symptoms on arrival. 

Coronavirus (COVID-19) – Guest House Closure

Due to the ongoing situation we may have to temporarily close the guest house as a result of the following:

  • If we, the owners, are showing signs of Coronavirus (COVID-19), have tested positive or have been notified of close contact by NHS Test & Trace. The guest house will remain closed until we have completed our self-isolation and we are able to re-open;
  • As a result of a suspected or confirmed case of Coronavirus (COVID-19) on the premises. We will be advised through this process by our local authority. 

We will contact guests to cancel or re-arrange bookings. If we have guests staying with us then we will make every attempt to find you alternative accommodation. If payment has been made and your stay with us cut short then we will issue a partial refund. Our liability would not extend beyond this refund.

  • In event of a local or national lockdown we will follow UK Government guidance and will not re-open until the lockdown is eased.

 We will contact guests to cancel or re-arrange bookings. If we have guests staying with us then we would ask that they return home where possible. If payment has been made and your stay with us cut short then we will issue a partial refund. Our liability would not extend beyond this refund. 

Coronavirus (COVID-19) – NHS Test & Trace

The Government has stated that the easing of social and economic lockdown measures following the COVID-19 outbreak is being supported by NHS Test and Trace. They have asked that tourism businesses assist this service by keeping a temporary record of contact details (name and telephone number) of our customers and visitors for 21 days. In the event of an outbreak we will comply with NHS Test and Trace requests for that data if required. We are grateful for your assistance in this matter and can assure you that it will not be used for any other purpose.

From the 24th September 2020 we have a dedicated QR code for the Blue Swallow Guest House for users of the NHS COVID-19 app. The posters are displayed inside the property at both the front and rear doors.

Please note that this data is gathered in addition to the legal requirement we have for keeping a register of all guests for 12 months.

Offers

Offers are subject to availability and cannot be taken with any other offers. Excludes Christmas, New Year, Easter and bank holidays.

Arrival and Departure

Check-in is between the hours of 4pm and 9pm. We ask that guests provide us with an approximate time of arrival. Please note that due to the enhanced cleaning protocols in place as a result of Coronavirus (COVID-19) we are unable to accommodate any early check-in requests. We cannot offer a check-in any later than 9pm.

We kindly request that rooms are vacated by 10am on day of departure.

Tariff

Rates quoted are for bed and breakfast. A room rate is available, please ask for further details.

Payment

Payment can be settled in advance of your stay or on arrival.

By booking and agreeing to our terms and conditions, you authorise the Blue Swallow Guest House to send instructions to the financial institution that issued your card to take payment from your card account.

Payment can be made by BACS payment or cheques (in advance) and the following cards – Visa Debit, Delta, Switch, Maestro, Visa Credit and Mastercard.

Sorry, we do not accept cheques on departure.

During Your Stay

After check-in you are welcome to come and go as you please, but we ask that noise is kept to a minimum after 10pm so as not to disturb other guests. All guests agree to respect the privacy and peace of all other staying guests, neighbours and the owners. We reserve the right to cancel a booking with immediate effect if guests do not honour this agreement and cause any disturbance or nuisance.

Visitors are not allowed in the Guest House without informing us. 

Hot food and takeaway meals must not be taken into the Guest Rooms, please 

ask if you wish to use our dining room.

WiFi Fair & Appropriate Usage Policy

During your stay guests have unlimited access to BT Guest WiFi. Guests accept to use this access to the Internet fairly and appropriately. The WiFi is used at your own risk.

BT Guest WiFi is set up to block any malicious or illegal usage.

Damage and Breakage

In the unfortunate circumstance that an accident may occur, we ask that you notify us immediately. We reserve the right to charge for any damage or breakages which we consider to be deliberately or recklessly caused and for any missing items. In the unlikely event that we are unable to re-let the room due to damage caused, we reserve the right to charge for any room nights lost. If any damage, breakages or missing items are discovered after departure you will be notified of any charges in writing as soon as is reasonably practicable. In agreeing to our terms and conditions you authorise us to take this amount from your card.

Loss of Keys

A charge of £250 will be levied for replacement room keys should the need arise. This cost is calculated on the basis that locks have to be changed and all keys for the house replaced. This charge must be paid on departure.

Lost Property

Any lost property left behind by guests during a stay will be held for a period of 3 months. While we will make our best efforts to reunite lost property with their owners we accept no responsibility in replacing lost items and encourage guests to ensure they have all their belonging before checking-out. We may offer to post lost items via recorded delivery at the cost of the property owner, otherwise collection can be arranged. Items such as bank cards or driver licences will be handed to the appropriate issuing authority and high value items will be handed to the police.

Fire Detection System

We reserve the right to take action against any guest found to have tampered/ interfered with any fire detection equipment throughout, including detector heads in public areas and bedrooms, break glass points and fire extinguishers. Guests found to have tampered with any fire detection or fire fighting equipment will be charged with any costs incurred by the owners due to their actions and additionally will be asked to leave the accommodation. Should the fact that fire fighting or detection equipment has been tampered with come to light after the guest has departed, you will be notified of any charges in writing as soon as is reasonably practicable. In agreeing to our terms and conditions you authorise us to take this amount from your card.

Please note that the use of ignitable candles, scented sticks and any electrical appliances which may set off the fire alarm system are forbidden under fire regulations. 

Smoking/Vaping

The Blue Swallow operates a no smoking/vaping policy throughout the premises. If we find that guests have been smoking/vaping anywhere on the premises then we reserve the right to ask you to leave immediately. You will be liable for the full cost of your booked stay. We also reserve the right to charge a minimum sum equivalent to the cost of one night’s stay if we are unable to re-let the room whilst it is deep cleaned and fully aired. If evidence of smoking/vaping is discovered after departure you will be notified of any charges in writing as soon as is reasonably practicable. In agreeing to our terms and conditions you authorise us to take this amount from your card.

Pets

Sorry, we do not accept pets. However, we do have our own cross-collie dog called Bunty who is confined to the owners’ accommodation.

Our Liability

We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles or possessions, unless proven to be caused by a negligent act by ourselves or our employees or contractors whilst acting in the course of employment. Cars, motorcycles and bicycles are left at your own risk.

Data

We are required to keep a register of guests over the age of 16 who stay with us, this includes full names and nationality, and/or passport numbers, place of issue, details of next destination if they are non-British, Irish or Commonwealth guests. This is in accordance with the (Immigration (Hotel records) Order 1972). These records are kept for a minimum of 12 months and in accordance with the DPA (Data Protection Act 1998) and the GDPR (General Data Protection Regulation).

Our policy surrounding the personal details you provide as part of any booking or enquiry through this website / or third party website, including the privacy of those details are explained and set out in our Privacy Policy. Any data collected as a result of your booking will be stored in accordance with the provisions of current Data Protection legislation.

Law

Any dispute between us will be governed by the non-exclusive Law of the English Courts.
